When do Canvas obtain information about someone?

  • When using the website to contact us through our information submission form.

  • When emailing us directly via email.

  • When enquiring over the phone.

What type of information is collected about someone?

  • We will only collect and process personal data that are adequate, relevant, and limited to what is necessary for the purposes for which they are processed. These include names and email addresses.

How is the information used?

  • For contacting the individual.

  • To send content that has been requested.

  •  To relay a user’s comments to the client.

How long will we hold information for?

  • The information will be used only for the purpose of the project, after which it will be archived as part of the database for that project. At this point, all archived data will be fully anonymised, so it no longer comprises ‘personal’ data.

    Who has access to information?

  •  We will not sell or rent any information to third parties.

  •  We will not share any information with third parties for marketing purpose

  • We may share information with local councils, for example when relaying consultation comments.

Your choices:

  • Individuals have a choice about whether or not they wish for us to share information and comments with other parties.All personal data will be removed from our system upon request, if for example an individual no longer wish to be involved in a project.

  • All of our systems are password protected and access is only afforded to designated Canvas employees. These systems are kept up to date to ensure their efficacy.
